HAMPTON WRESTLING ASSOCIATION
BOOSTER MEETING MINUTES – OCTOBER 14, 2025
(Called to Order at 7:01pm – Adjourned at 8:08pm)
COACHES’ REPORTS:
VARSITY (COACH ENDRES):
Mats for the middle school were rolled out last Thursday and will be flipped this
Thursday. After another week, the cleaning process should start.
High school mats are in the room, underlayment goes in Thursday, mats roll out
Friday, and with one week of work plus another week and cleaning, we’ll be
finishing right up against the JO program start on November 4th.
Mats and singlets for both middle school and high school programs have
arrived.
Dawg Duals: Confirmed back to 10 teams after replacements were secured for
dropouts.
Dean Longwell will handle champion t-shirt and trophy orders for the top three
teams
Sponsor logos are needed as soon as possible for the back of the champion
shirts.
Season start is approaching; athletes must register so warm-up sizes can be
submitted.
Warm-up order needs to be placed early next week to stay on schedule.
9th–12th graders still need to sign up — will push through announcements and
follow-up calls.
All returning athletes and interested form sign-ups have already received a
personal email.
MIDDLE SCHOOL (COACH BURSICK):
One dual meet is still needed to complete the middle school schedule.
All tournaments are confirmed.
Request made to align a dual meet with the high school match on the first
Wednesday in February (Feb 4) to run a combined event including girls’ matches
and senior night.
Central Valley reached out about a possible match, but high school is currently
out of points, suggesting their middle school may still have availability.
Mike is still searching for a team available on that date.
Ken Haselrig is stepping away from coaching due to returning to a classroom
role. Hope is that he may still volunteer or attend events when possible.
Replacement search is underway.
Brazille is confirmed to come into the room two days per week; remaining
staffing is still being finalized.
Four weeks remain to finalize coaching coverage and logistics.
Singlets and mats are in. No additional major updates at this time.
YOUTH (YOUTH DIRECTOR WES METCALF):
Wes reserved practice room Monday–Friday, 6:30–8 PM.
Mon/Wed: 2nd–6th grade
Tue/Thu: K–1 (typo on form says 1st–2nd)
Friday: Open room for K–6
Some dates blacked out due to varsity basketball games. Need follow-up with Wes and AD about possible middle school room use instead.
All practices and match dates added to Game Changer.
Middle school reserved for match nights. Meeting with NHWL on the 19th.
Tentative first practice: Week of November 3rd (families will be told this is
tentative depending on mat completion).
Consider using middle school room first week if HS room isn’t ready.
Only posted dual so far is NA Open Duels. Need to confirm bracket level or look
for an alternate event.
PWL tournaments expected to post around Nov 1.
7 coaches confirmed for JO program. May add 1–2 more for K–1 room or adjust
rotation.
Inventory audit done. Request submitted for 7 youth medium + 7 youth large
singlets. May reduce to 5/5 based on sign-ups.
Order needs to be placed ASAP to meet 4–6 week turnaround.
GIRLS’ CLUB (COACH RUGGERI):
Chris proposed ordering 14 girls’ doublet uniforms to offer a more comfortable
alternative to singlets and help boost participation.
Cost: $71.90 per set with a 14-piece minimum. Current high school girls
registered: 6–8.
Concern noted about ordering more than needed and program
continuity, but consensus was that removing barriers now is key to
program growth before next year’s review.
Funding options discussed: boosters front cost, girls fundraise part back,
potential sponsor logo on warm-ups (needs rule check), and other
fundraising efforts coming (Stromboli sales, Nothing Bundt Cakes, etc.).
Vote passed to move forward with ordering. Boosters will cover
upfront; girls will contribute through fundraising.
TREASURER’S REPORT:
Scholarship fund brought to $6,500 (13 years of $500 awards).
Plan: Seniors write a short letter to apply, board to vote. Nick to draft prompt.
Account balances:
Venmo: $2,462.77
Checking: $2,792.60
Total: $5,255.37 + cash from tailgate
Add $75 singlet fee back to Lomb’s invoice and refund via Venmo after return.
FUNDRAISING:
Tailgate - brought in $58
OTHER DISCUSSION ITEMS:
Bags:
Gear bags mocked up; possible sponsorship from Laborer’s Union limited to
HS/MS & Girls (pending final numbers).
Parent Meetings:
Youth parent meetings tentatively scheduled week of Nov 17, split K–1 and 2–6.
HS/MS/Varsity parent meetings will be scheduled after next board meeting to
ensure board rep can attend each. Goal: before Thanksgiving
Registration & Invoicing:
Invoices sent. Note included: if using 2-week trial, discount does not apply. Early bird discount only for full-season commitments.
Coach/volunteers applied at half price.
Current registrations:
8 HS
5 ninth graders
12 MS
6 girls
46 youth
40 unpaid invoices totaling $4,800 remain. Reminder emails started.
Fundraising:
Tailgate brought in $58 (not counting shirts)
Photo Update:
Photographer option reviewed—individual photos made into team composite, $50 cheaper per banner. Can also cover senior night. Scheduling to be set likely week of Nov 24–25, after initial drop-outs.
Volunteer:
We will keep the current process until all volunteer spots have been registered and then we will revisit asking for donations in lieu of volunteering.
Next Steps / Action Items:
Wes to confirm blackout dates & middle school room backups.
Place singlet & doublets.
Girls program: Plan fundraising to offset cost.
Finalize scholarship prompt.
Schedule photographer and confirm lead time with Stacey.
Confirm all parent meeting dates at next board meeting.
Monitor mats timeline and adjust first practice location if needed.
